More information about the lawful basis can be found by clicking on the links above, which will take you the Information Commissioners website for a formal definition.  In summary, a Legitimate Interest applies when we use the data in a way that you would reasonably expect and has a minimal impact on your privacy where it is not possible to achieve the same result in a less-intrusive way.

The contractual basis applies not just when there is an actual contract in place, but also where you have approached us before entering into a contract, even if that contract doesn’t take place.

Are you sharing my personal information?

We sometimes need to use Data Processors to carry out some of our processes that involve your personal data.  For example, we use website analytic tools to help us understand website traffic, we use third party software to manage our email activities and to host our website.  We have robust agreements in place with our Data Processors and ensure they are carefully selected and compliant with the requirements of GDPR.

We do not sell, trade or rent your information to other parties unless we have first obtained your consent. If you do give us permission, we will only share information with organisations we have carefully selected and believe to be reputable.

In the event that any processing or sub-processing takes place outside of the EU, we have a named representative for that processor within the EU to ensure GDPR standards are met.

The only other occasions where we may share your data without your consent is if it is in response to a lawful request for information such as a court order, witness summons, or complaint from governmental authorities.

How long will my personal data be kept?

We retain your personal data for different periods, depending on your category

What are my rights?

Under GDPR you have legal rights regarding your personal data which are:

  • Right to be informed of the data we collect, what we do with it and how we look after it (contained in this document and any associated contracts)
  • Right of access to your personal data that we hold.
  • Right of rectification.  If any data we hold about you is incorrect, you can request that this is corrected
  • Right of erasure.  You have the right for your data to be erased, and we have one month to comply with this.

  • Right to object to processing
  • Right to remove consent for processing, by opting out at any time

Contact us if you wish to exercise any of these rights over your data.

If you are a Client of ours, as described above, you will have to make this request via your Data Controller, as we are contracted with them to process the data they have given to us.  Each client organisation has provided us with a named individual who we can accept these instructions from, and we have a process in place to respond accordingly.  Exercising some of these rights as an individual may prevent us from meeting our contractual obligations, so we need to manage this effectively.

You also have the right to make a complaint to the Information Commissioner if contacting us has failed to provide you with what you need.

What use do we make of personal information?

Your personal information will be used only for the purposes of communicating with you in relation to our products and services, for assessment and analysis to enable us to review, develop and improve the services we offer, or for any other purposes to which you have given your consent.
